Privacy Policy

EZ Certs TX ("we," "our," or "us") provides an online tool that Texas driving schools use to issue in-person TDLR certificates and keep records of them, at ezcertstx.com. This Privacy Policy explains what information the service holds, how it is used, and how it is protected.

Who this applies to

Our customers are driving schools. The schools decide what student information to enter and use the service to issue their own certificates. For student information, the school is responsible for collecting it and we store and process it on the school's behalf. Students and parents with questions about their records should contact their driving school first; we will help the school respond.

Information we hold

School accounts: school name, TDLR school number, address, phone, email, the names and email addresses of staff who sign in, and the owner's signature.

Instructors: names, TDLR instructor license numbers and signatures.

Students (entered by the school): name, date of birth, gender, contact details, driver license or permit numbers where the certificate needs them, course dates and grades, and the certificate numbers issued to them. Many students are under 18.

Usage records: who issued, corrected, voided or deleted each certificate and when, sign-in records and basic server logs, kept for security and so schools have a full history.

How we use it

Only to provide the service: filling in and printing certificates, keeping each school's certificate history, preparing the school's TDLR report file, sending account emails (such as password links), and supporting and securing the service. We do not use student information for marketing.

Sharing

We do not sell or rent any information. Each school can see only its own records. Schools send their own TDLR report files; we do not send information to TDLR for them. We use a small number of service providers to run the service, who may handle information only for that purpose: DigitalOcean (hosting), Cloudflare (DNS and encrypted backups) and Postmark (account emails). We may disclose information if required by law.

Security

Information is sent over encrypted connections, signatures and files are stored privately, every school's records are kept separate, and staff accounts with access to more than one school must use two-factor sign-in. Backups are encrypted. No system is perfectly secure, but we work to protect your information and will notify affected schools of any breach as required by law.

Retention

Certificate records are kept while the school's account is active, because schools must be able to reprint certificates and account for every certificate number. When a school closes its account, we can export its records and then delete them, apart from what we must keep by law or in backups, which expire on their normal schedule.

Your rights (Texas Data Privacy and Security Act)

Texas residents can ask to access, correct or delete their personal data. Because the school controls its student records, requests about a student are handled through the school; schools can correct records themselves and contact us for anything else. Schools can contact us directly about their own account.
